Approval, and why you cannot approve your own words

How it works · Updated 2026-08-11 · Describes Sprint 33

An article can only be approved by somebody who did not write the version being approved. A workspace with one person can write knowledge but cannot approve it.

How it works

Writing produces a version. Sending it for review puts it in the queue. A colleague holding the approve permission reads it and either approves it — at which point customers can be told it — or rejects it with a reason, which goes back to the author.

Why it works this way

Approval is the moment something becomes a thing your business says. One person writing and approving their own text is not a review; it is a save with an extra click. Making it structural means the guarantee holds on the busy day as well as the careful one.

Careful

If you are working alone, invite a colleague before you expect suggestions to appear. Until an article is approved, nothing can quote it.
